D.A.P. (Artbook) Monthly Sales Reports
How to bring your Distributed Art Publishers reports into Familiar
D.A.P. / Distributed Art Publishers, also known as Artbook, distributes art, photography, design and architecture books for museums and independent publishers, with warehousing and fulfillment through Ingram Publisher Services. D.A.P. issues a sales report workbook every month for each of your vendor accounts. Familiar reads that workbook directly, including the month and the distribution rate.
The File You Need
D.A.P. Sales Report (.xls), one per vendor account
The workbook has three sheets. Familiar uses two of them:
- • By Cust Type: sales and returns for each title, broken down by customer type. Its title reads like D.A.P. Sales Report 8/1/2026 - 8/31/2026, which is where Familiar gets the month.
- • Statement: the Statement of Sales and Earnings, which works out what D.A.P. owes you. Familiar reads the distribution rate from here and checks the sales total against it.
- • MTD Sls Inv: inventory movement. Familiar ignores it.
If you have separate print and digital accounts, you get two workbooks a month. Upload both.
How to Get and Upload Your Reports
Get the Month's Sales Report from D.A.P.
D.A.P. doesn't publish how it delivers reports to the publishers it distributes, and we haven't found a self-service portal. If you don't already receive the monthly sales report for each of your vendor accounts, ask your D.A.P. contact for it in its original Excel (.xls) format. Filenames usually don't mention D.A.P., so keep track of which file is which.
Leave the File Unchanged
Don't delete rows, rename sheets, or re-save the workbook as .xlsx. Familiar accepts D.A.P. reports only as .xls, and it checks that the title rows add up to the Statement's net sales, so an edited file will be rejected.
Upload and Choose D.A.P. (Artbook)
Upload each workbook and pick D.A.P. (Artbook) from the distributor list. Familiar can't detect D.A.P. from the filename, so you'll always choose it by hand. You don't need to pick a month or enter a fee; both come from the file.
How Familiar Calculates Your Numbers
- • Gross revenue is the month's sales (MTD Sls $), which is D.A.P.'s selling price after the trade discount.
- • Returns come from the month-to-date return columns and are recorded separately.
- • Net receipts are net sales after returns, minus D.A.P.'s distribution fee at the rate on your Statement sheet.
- • Customer type becomes the sales channel. Domestic customer types are recorded as US sales, and the UK, Canada and Australia export types under those countries. Other regional export types are recorded without a country.
- • Titles with year-to-date activity but nothing this month are left out, so they don't show up as empty rows.
What's Left Out, and Why Totals Can Differ Slightly
Reserve against returns. The Statement holds back part of your recent sales in case books come back. That's money held, not a charge against any title, so Familiar doesn't import it.
Deduction invoices. Freight, pick and pack, and storage charges arrive on separate invoices. They're publisher costs that most author contracts don't share. If yours do, add them as expenses in Familiar.
Small fee differences. D.A.P. calculates its fee after the reserve adjustment, while Familiar applies the rate to the month's net sales. In a given month, Familiar's fee can differ a little from the Statement line. The difference evens out over time as reserves are released.
Troubleshooting
Returns processing fee or remainder sales: if the Statement shows either, Familiar rejects the file. D.A.P. doesn't break those amounts down by title, so they can't be assigned to the right books automatically. Contact Familiar support with the file and we'll help you record that month.
“Each upload must cover a single calendar month”: the report title spans more than one month. Ask D.A.P. for the monthly report instead.
The title rows don't match the Statement's net sales: the workbook was edited. Upload the original file from D.A.P.
The file type is rejected: Familiar takes D.A.P. reports as .xls only. Use the file as D.A.P. sent it, not a copy re-saved as .xlsx.
